Job Description:
Job Summary: Works directly with the Contract, Compliance & Risk
Administrator in facilitating vendor contract review and renewal
processes. Acts as liaison between Purchasing Department, operating
departments, and the Gaming Commission to ensure vendor and
consultant licensing requirements are met. Performs all the vendor
management functions. Primary Duties: Contract Administration Works
with Department to verify renewal or termination of contracts. If
renewal obtains contracts for renewal from vendors. Once contract
is reviewed by Purchasing and legal, distributes contracts
externally and internally for appropriate signatures. Maintains
contract documentation through the electronic contract system and
repository. Internal expert on electronic contract system to help
train users from other departments to understand and use the
system. Prepares contracts to be presented to Executive Team and
the Board for review and signatures. Vendor Management Coordinates
vendor and consultant licensing processes with the Gaming
Commission. Obtains information from Buyers and vendors for license
renewals for submission to the Gaming Commission. Enters and
maintains vendor information in Purchasing software systems. Audits
analyzes, and distributes information to Purchasing and operating
departments relating to vendor renewal statuses. Assists in vendor
management process including completing Non-Disclosure Agreements,
credit applications, Tax Exemption Certificates and W-9's for
review. Researches and provides information for PCI Compliance and
due diligence for review. Maintains electronic filing system and
backup hard copy files. Handles annual vendor mailings for W-9's
for both Gaming Enterprise and Community. Weekly Board of Director
Meetings Prepares invoices and Financial documents to be presented
to Board for review and signatures. Audits Assists in departmental
audits by researching and providing requested documentation for
review. Occasional Tasks: Backs up the Purchasing Coordinator and
elements of the Contract, Compliance & Risk Administrator's role.
Requirements Job Requirements: Reflects MINIMUM EDUCATION,
TRAINING, CERTIFICATION, and EXPERIENCE required in order to meet
the expectations of this job: Two years of advanced education in a
related field. Two years of clerical/administrative experience in a
computerized environment. Excellent oral and written communication
skills. Demonstrated strong attention to detail. Ability to work
with minimal supervision. Needs to have strong organizational
skills. Ability to work with and interact professionally with all
levels of the Enterprise including the Executive Team using strong,
service-oriented skills that reflect the Purpose, Vision, and
Values of the Gaming Enterprise. Needs strong follow-up skills with
ability to get results. Ability to keep information confidential
with access to all agreements. Proficiency in word-processing,
spreadsheets, and electronic mail software. Must be able to type 45
WPM.
