We are on the hunt for an "Overseer of Order," aka a licensed Operations and Administrative Coordinator (because "Assistant" doesn't go far enough) to join our real estate team in the southern burbs of the Twin Cities. Picture yourself as the behind-the-scenes hero, making magic happen and keeping our transactions flowing smoothly!

As our administrative guru, you will be the master of operations, ensuring everything runs like a well-oiled machine and the clients and agents receive mind-blowing service. Attention to detail is your middle name, and you've got organizational skills that put Marie Kondo to shame. Plus, your communication game is on point-whether it's over the phone, written, or dazzling in person, you know how to leave people wowed!

$50,000+ annual salary based on experience (with MN real estate license), plus bonus and referral opportunities available.

Responsibilities:
Transaction Management:
--- Assist in managing all administrative aspects of our real estate transactions, including preparing contracts and related documents
--- Coordinate and maintain transaction timelines, ensuring all necessary tasks and deadlines are met
--- Communicate and follow up with clients, agents, lenders, title, and other stakeholders to ensure a seamless transaction process
--- Monitor and update transaction databases and systems accurately and in a timely manner

Client Support:
--- Provide exceptional customer service to clients throughout the buying and selling process and beyond
--- Check in consistently with clients even when they are not involved in a transaction with us, to nurture the relationship and increase the likelihood of earning repeat and referral business
--- Respond promptly and professionally to client inquiries, addressing their concerns and providing accurate information
--- Schedule and coordinate property showings, open houses, and other client-related appointments
--- Assist in preparing listing presentations, market research reports, and property marketing materials
--- Efficiently traverse the Twin Cities going to client's properties to perform various tasks, such as: measuring for listings, preparing listing notes for MLS, placing signage, lock boxes, and brochures, picking up misc items, and other on-site tasks as needed
--- Although infrequent, be willing to show a home to a client when necessary if an agent is unavailable

Administrative Tasks:
--- Manage and maintain accurate records, files, and databases related to real estate transactions, clients, and leads
--- Conduct research and gather relevant information on properties, neighborhoods, and market trends
--- Prepare and distribute regular reports, including market updates, to team members and clients
--- Assist with managing team calendars, scheduling meetings, and coordinating team and client events

Marketing and Advertising:
--- Create and update property listings on multiple platforms, ensuring accuracy and appealing presentation. You will be the wordsmith, creating masterpieces that bring our listings to life
--- Collaborate with team members, vendors, and partners to create and implement marketing strategies and advertising campaigns
--- Assist in coordinating and executing digital and traditional marketing efforts
--- Monitor and respond to online inquiries and leads promptly

Compliance and Documentation:
--- Ensure compliance with real estate laws, regulations, and ethical practices
--- Maintain and update required legal documents, disclosures, and forms
--- Assist in preparing and submitting necessary paperwork for transactions, such as offers, counteroffers, and addendums

Qualifications:
--- You live in the Twin Cities area of MN or will be soon. Driving around the Twin Cities area to the client's homes is an important part of this role
--- Accuracy is key. You've got an eye for detail that can spot a needle in a haystack (or a typo in a contract)
--- You are an organizational guru, easily prioritizing your daily, weekly, and monthly activities and overall time management, leaving nothing but a trail of completed tasks in your wake
--- Your written and verbal communication skills are so smooth they could make a politician sound honest and a lawyer sound concise
--- Previous administrative experience in residential real estate or related fields, such as cat herding, title, or mortgage is required, with real estate-specific experience highly preferred.
--- Having a MN real estate license is your golden ticket to this adventure, or at least you're willing to get your MN real estate license upon joining our team
--- Your professional appearance is strong, with a demeanor that screams "business in the front, party in the back" (but honestly, you can go without the mullet)
--- You navigate the digital realm like a superhero, whether it's the Google Workspace or Microsoft Office Suite - you are the software savant
--- Real estate software and the local MLS platform are your trusty sidekicks, and you are quick to learn new tools and tricks
--- Canva is your artistic playground, where you create designs that could rival the Mona Lisa (or--- at least some eye-catching social media posts and listing brochures)
--- If marketing and advertising are your secret superpowers that would certainly be a plus, especially when it comes to videos and social media. Are you secretly the behind-the-scenes influencer we've been waiting for?!?
--- You have an exceedingly reliable vehicle to take you to real estate adventures near and far across the Twin Cities
